The Challenge

This food manufacturing company was conducting 25 to 30 supplier quality audits every month as part of their regulatory compliance obligations. Each audit involved a 45 minute on site walkthrough with the supplier’s facility manager, covering hygiene standards, storage conditions, documentation accuracy, and process adherence.

The audit workflow was entirely manual. Inspectors carried clipboards with printed compliance forms and attempted to take notes while simultaneously conducting conversations and observing facility conditions. After each visit, they returned to the office and spent 30 to 40 minutes transcribing their handwritten notes into digital forms. This post visit paperwork was the single biggest bottleneck in the QA workflow.

The consequences were tangible. Handwriting was sometimes illegible, leading to missing or incorrect data in completed forms. Inspectors frequently forgot details by the time they sat down to type them up. Forms were being submitted late, and the QA director estimated that nearly 28% of submissions missed their internal deadlines. With SFDA (Saudi Food and Drug Authority) tightening enforcement and increasing audit scrutiny, incomplete or delayed documentation was becoming a genuine compliance risk that could affect the company’s operating licenses.

Our Approach

CubePeaks deployed an AI powered audio to form filling solution that fundamentally changed how the QA team captured audit data. Instead of writing notes during conversations, inspectors would simply record them.

Recording Client Conversations

The solution began with a simple but powerful change. Inspectors tapped “Record” on their mobile device at the start of each supplier walkthrough. The app captured the entire conversation, every question, every answer, and every observation spoken aloud, in high quality audio. Inspectors were free to focus entirely on the audit itself, observing conditions, asking follow up questions, and building rapport with the supplier’s team without breaking eye contact to scribble notes.

AI Powered Transcription

Once the recording was complete, or in real time during the conversation, the app’s AI engine transcribed the audio into text. The transcription was accurate enough to capture technical terminology, supplier specific jargon, and even accented speech common in multilingual audit environments. The full transcript was available for review immediately after the conversation ended.

Uploading Existing Form Templates

One of the solution’s biggest advantages was that it worked with the company’s existing forms. The QA team uploaded their current audit templates, which existed as PDFs, Word documents, and CSV files, directly into the app. There was no need to rebuild forms, migrate to a new platform, or change the audit structure. The app understood the form fields and their context regardless of the original file format, whether that was PDF, DOCX, CSV, or plain TXT.

Smart Form Filling

This was the core automation. After transcription, the AI analyzed the conversation content and intelligently matched discussed topics to the appropriate form fields. When an inspector asked about cold storage temperatures and the supplier responded with specific numbers, the AI placed those values in the temperature compliance section. When the discussion covered sanitation schedules, those details populated the hygiene checklist. The matching was semantic, not keyword based, meaning the AI understood context and intent, not just word matches.

After the auto fill was complete, the inspector reviewed the populated form on their screen, made minor corrections or additions if needed, and submitted it, all before leaving the supplier’s facility. The entire 30 to 40 minute post visit paperwork process was eliminated.

Session History and Analytics

Every completed audit session was stored with its full recording, transcript, and filled form. The QA director could track completion rates, review individual audit sessions, and monitor team performance through a built in analytics dashboard. The dashboard showed metrics like average form accuracy, completion rates, submission timeliness, and inspector productivity. Over time, this data helped identify which suppliers consistently had issues and which inspectors might need additional training.
